Systems Review

Small business IT and systems review checklist

When a small business grows, the software stack often grows one urgent decision at a time. This checklist helps identify where the systems may be creating extra cost, delay, or confusion.

Tools and vendors

  • Do we know every recurring software and vendor payment?
  • Are any tools solving the same problem?
  • Does each tool have a clear business owner?

Data and reporting

  • Do reports pull from a clear source of truth?
  • Are numbers manually corrected before meetings?
  • Can frontline teams see the information they need?

Processes

  • Can recurring work be explained as an SOP?
  • Are handoffs, exceptions, and escalation paths clear?
  • Do we know what success looks like for the work?

Automation readiness

  • Is the process stable enough to automate?
  • Is the input data clean and accessible?
  • Does a human need to review exceptions?

What to do next

Pick the area with the clearest cost, delay, or reliability problem. A focused systems review usually beats a broad technology overhaul.
